RecruitiFi provides you with a powerful suite of tools to manage both permanent placements and contract workforce hiring. By leveraging consolidation, control, and savings, you can streamline your hiring process. To unlock the full potential of RecruitiFi’s contract workforce features, follow the steps below:
Contact Your Account Manager
Your dedicated account manager will guide you through the entire setup process. They’ll take time to understand your specific contract workforce goals and help tailor the platform’s features to your needs. To access the contract workforce features, you’ll need your account manager to update your settings.
Legal
Step 1: Click on your avatar in the top-right corner of the dashboard.
Step 2: Go to Settings > Contract Workforce.
Step 3: Under the Legal Agreements section, review and accept the Contract Workforce Terms by checking the acceptance box.
This step ensures you are legally aligned with RecruitiFi’s contract workforce policies and ready to move forward.
Pre-Assignment
Step 1: Click on your avatar and navigate to Settings > Contract Workforce.
Step 2: In the Pre-Assignment Screenings section, you can configure the necessary pre-assignment requirements, such as background checks, drug screenings, and other documentation. These steps must be completed before a candidate is eligible to start work.
Once configured, these screening requirements will be visible on your JobCasts across your company. You can select specific pre-assignment tasks for each job, ensuring consistency and compliance.
Insurance
Step 1: Click on your avatar and go to Settings > Contract Workforce.
Step 2: In the Insurance Requirements section, create Job Categories. These categories will define different insurance bundles required for various roles.
Example: A software engineering role might require cybersecurity insurance, while a construction role might not.
Step 3: When creating a new contract role, select the relevant Job Category to automatically assign the appropriate insurance requirements.
This customization allows for specific insurance policies tailored to each job type.
Team
Step 1: Click on your avatar and go to Settings > Team.
Step 2: Add the email addresses of team members who will be responsible for approving timesheets. Ensure that you assign the appropriate permission level, such as Timesheet Approver.
This ensures that the correct personnel have the necessary permissions to review and approve contract worker hours.
Staffing Firms
Step 1: From the top navigation bar, click on Agencies and select Invite Agency.
Step 2: Enter the staffing agency’s Organization Name, First Name, and Last Name. Then, select Contract Workforce as the type of service.
Step 3: If you have an agreed-upon conversion fee for contract workers who are converted to full-time, make sure to include that information.
This process will link your staffing agency partners to your contract workforce management system.
Finance
Step 1: Go to Settings > Finance.
Step 2: Enter your Email and Full Name.
Step 3: Choose US Bank Account as your payment method.
Step 4: Search for your bank by name and log in to authorize RecruitiFi to debit your account for hours worked each week.
This enables RecruitiFi to handle the payment process automatically, making it easier to manage contractor billing.
Existing Contracts
Step 1: From the top navigation bar, select Contract from the Perm/Contract dropdown.
Step 2: For each employee in your contract workforce, navigate to Contracts and select New Contract.
Step 3: Enter the following contract details:
Job Title
Job Category
Worker's Name
Worker's Email
Standard Hourly Bill Rate
Staffing Agency (select the agency that currently supplies the worker)
Original Start Date
Tentative End Date
Primary Work State and Zip Code
If applicable, enter the Cost Center and any Invoice Memo that should appear on the invoices.
Step 4: Add the Timesheet Approvers who will review and approve the worker’s hours each week.
By setting up these details, you’ll ensure that your contract workforce is properly managed and compliant with internal billing and timekeeping procedures.
