Candidates must confirm their submission before they can be presented to the employer. Until confirmation is completed, the candidate will remain Unconfirmed and will not be visible to the employer.

Below is an overview of the confirmation process for contract submissions.

1. Candidate Receives a Confirmation Email

After you click “Submit” on the candidate submission form, the candidate receives an automated email from

Email subject line:

“Confirm your interest in this position at [Company Name]!”

The candidate must click “Review & Apply” in the email to proceed.

2. Candidate Completes the Application Process

Clicking “Review & Apply” takes the candidate to RecruitiFi, where they complete a 5 step application process:

Step 1: Confirm Agency Representation

If multiple agencies have submitted the same candidate, the candidate selects which agency will represent them for this opportunity.

Step 2: Confirm Contact Information & Resume

  • Candidates verify their contact details

  • They have a one-time opportunity to upload an updated resume

Step 3: Confirm Contract Details

Candidates confirm key contract-specific information, including:

  • Pay rate

  • Availability for the full contract duration

  • Target start date

  • Any planned time off during the contract period

Step 4: Answer Screening Questions

Candidates respond to screening questions from the employer and also indicate:

  • Whether they have interest in converting to a permanent role

  • Whether they will require visa sponsorship now or in the future

Step 5: Rate Recruiter & Submit

Candidates:

  • Rate their experience with their recruiter

  • Click “Submit Application”, completing the process

3. What Happens Next?

Once the application is submitted:

  • The candidate’s status changes from Unconfirmed to Awaiting Sort

  • The candidate becomes visible to the employer for review

Best Practices for Agencies

Notify the Candidate

Let candidates know to expect an email from RecruitiFi and encourage them to confirm immediately.

Stay on the Phone When Possible

If feasible, remain on a call with the candidate while submitting to ensure they complete the confirmation process.

Avoid Direct Applications

Candidates who apply directly to the employer may lose agency representation or risk getting lost in the employer’s ATS.
